This Privacy Policy describes how justReporting GmbH Wirtschaftsprüfungsgesellschaft (“we”, “us”, “our”) collects, processes, and protects personal data when you use ReportingGPT (“the Service”).

Data we collect

Account data: Name, email address, company name, billing information when you register or subscribe.

Usage data: Log data, feature usage, session information – used to operate and improve the Service.

Report data: Documents you upload for review. These are processed solely to provide the review service and are not used for AI training. See our AI Transparency page for details.

Communication data: Emails and support messages you send us.

Legal bases (GDPR Art. 6)

  • Contract performance (Art. 6(1)(b)) – for providing the Service
  • Legitimate interests (Art. 6(1)(f)) – for security, fraud prevention, and product improvement
  • Legal obligation (Art. 6(1)(c)) – for retention required by law
  • Consent (Art. 6(1)(a)) – for optional features like AI improvement (opt-out available)

Data storage and retention

All data is stored in AWS Frankfurt (eu-central-1), Germany. We retain account and report data for the duration of your subscription plus a 30-day deletion window. On request, data can be deleted earlier.

Different retention periods may apply under applicable law (e.g., §\u00a0257 HGB for business records).

Sub-processors

We use Amazon Web Services (AWS) as our primary infrastructure and AI inference provider. AWS operates under standard contractual clauses. A full sub-processor list is available in our Data Processing Agreement.

Your rights

Under GDPR, you have the right to access, rectify, erase, restrict processing of, and port your personal data. You also have the right to object to processing and to withdraw consent at any time.

Cookies

The ReportingGPT web application uses only technically necessary cookies (session management). No tracking cookies or third-party advertising cookies are set.

Changes to this policy

We may update this Privacy Policy. We will notify you of material changes via email or an in-app notice. Continued use after notification constitutes acceptance.
